Interim Changes to the Application Process due to COVID-19

The Ontario Government has enacted a declaration of emergency to help contain the spread of COVID-19 and protect the public. CTCMPAO is actively monitoring the situation and implementing measures to help us address these unprecedented circumstances. As part of our response, the CTCMPAO Registration Committee approved the following interim changes to the application and registration process. The purpose of these changes is to ensure that CTCMPAO can continue to process applications, and to allow applicants to complete the registration process, during a time, when all non-essential services have been suspended.

Applicants, please review these changes carefully as they will directly affect the processing of your application:

Application for Registration Forms CTCMPAO application for registration may be submitted electronically (e.g., pdf format). Applicants will be asked to submit the original/hard copies of their applications after the state of emergency has been lifted.

Passport size photograph Instead of passport size photograph, CTCMPAO will accept an electronic copy of a government-issued photo ID (e.g., driver’s licence, passport). The photo ID must have been issued within the last five years.
Notarized declaration Applicants must complete the declaration section of the application form; however, the requirement to have the declaration notarized has been temporarily removed. Application Fee Applicants may submit the application fee electronically. N/A
Criminal background checks The criminal background checks requirement has been temporarily suspended. If a person becomes registered without providing the criminal background check, the CTCMPAO will impose a condition on their certificate of registration that the member must provide a criminal record check within six months of registration. The condition will remain on the individual’s certificate of registration until this requirement is satisfied.
Language fluency Applicants meet the language fluency requirement if:
  • The applicant signs a self-declaration on the application form confirming that the applicant’s first language is English or French;
  • The applicant successfully completes the Safety Program Test, Jurisprudence Course Test, and Registration Examination in either English or French;
  • The applicant submits a copy (e.g., pdf copy) of a transcript showing graduation from a secondary school with four consecutive first language English or French credits at the secondary school level;
  • The applicant submits a copy (e.g., pdf copy) of a transcript and degree showing completion of an undergraduate degree from a recognized public university to CTCMPAO in English or French; OR
  • The applicant is able to demonstrate their fluency through a video conference interview with the Registrar or panel of the Registration Committee.

If applicable, letter of standing with a Canadian TCMPA regulatory authority Letters of standing may be submitted electronically. The letter of standing must be submitted directly to CTCMPAO by the TCMPA regulatory authority.
Professional liability insurance Copies of certificates of insurance may be submitted electronically. N/A
Proof of completion of TCM education program – graduates of Canadian programs The original transcript requirement has been temporarily suspended.
CTCMPAO will accept on a temporary basis an email confirmation of program completion. The confirmation must be submitted to CTCMPAO directly from the program director or coordinator.
Program curriculum or course outlines may be submitted electronically.
If a person becomes registered without the official transcript, CTCMPAO will impose a condition on their certificate of registration that the member must ensure that their official transcript is submitted directly to CTCMPAO by their education program within six months of registration. The condition will remain on the individual’s certificate of registration until this requirement is satisfied.
Program curriculum or course outlines must be submitted to CTCMPAO directly by the TCM program.
Proof of completion of TCM education program - Graduates of a program outside of Canada The World Education Services credential evaluation and authentication reports may be submitted electronically.

Completion of a program of clinical experience in the profession Supervised clinical experience documentation may be submitted electronically. Supervised clinical experience documentation must be submitted directly by the clinical supervisor or school.
If applicable, confirmation of education standing Confirmation of education standing may be submitted electronically. Confirmation of education standing must be submitted to CTCMPAO directly by the TCM program coordinator or director.
If applicable, Supervisor Acknowledgement and Undertaking Agreement Supervisor Acknowledgement and Undertaking Agreement may be submitted electronically. Supervisor Acknowledgement and Undertaking Agreement must be submitted to CTCMPAO by the supervisor.
